Intro to Automations

Automations help you automate your daily workflow, to save time and be more effective. Triggerbee's Automation feature is based on the logic of If This Then That (IFTTT), which allows you to build workflows that are triggered when a specific event takes place on your website. Every automation require at least 1 trigger and 1 or more action(s) to get started

Example use cases for Automations

  • Sending converted visitors to your Email Marketing System

  • Tagging visitors based on actions (eg. customer, member, prospect, competitor).

  • Sending emails based on actions on the website (eg. abandoned cart)

  • Update your CRM with new prospects or data on current customers.

  • Sending email to your sales team when interesting leads visit the website

Note: Most of the subscriber and CRM-related automations can be found in the Form Settings in the Campaign editor when you create Forms for your website, but every automation created there can also be found and edited in the Automation section.

Overview

This is what the Automation section looks like. Let's break the sections down...

When this happens.. (The Trigger)

Triggers are events that happen on your website. There are 3 triggers to choose from:

  • Goals. An action that has been executed by the visitor, as a sign of engagement. For example, logging in, filling out a form or completing a purchase.

  • Campaign Form Submission. When a visitor submits a form (eg. signing up for a newsletter).

  • Path. When the visitor visits a specific URL.

You can also add conditions to your trigger, to filter out certain visits. For instance, only letting through visits with more than 3 visits, that has an email and is from a certain country.

Do this action... (The Action)

The actions are what happens AFTER the trigger has been fired.

Here are some examples of common actions:

  • Add a contact in Voyado, Mailchimp, Rule etc.

  • Update contacts in your CRM or Email subscriber tool.

  • Add a Tag on a contact in Triggerbee

  • Create a deal, person or organisation in Pipedrive

  • Send an email notification to someone on your team

The Automations overview

Go to Automations in the left menu to see all automations on the account.

Use the tabs at the top to switch between:

  • All: every automation.

  • Custom: automations you created under Automations.

  • Triggered by an Experience: automations created from the form settings of an experience. Click the open icon on the row to go to that experience.

Use the search field to find an automation by name or trigger. Use the status filter to show Active, Inactive or All statuses. Active automations are shown by default.

Each automation shows:

  • Active: a switch to turn the automation on or off.

  • Name and Trigger.

  • Health: the last 14 runs shown as colored dots, the date of the last run, and an overall status. See Health status below.

  • Run count: how many times the automation has run. Click the number to open the history.

  • Last modified and Created, with who made the change.

Automations triggered by an experience turn on and off together with the experience. Custom automations are turned on and off with the switch in the list.

Edit, duplicate, copy and delete

Click an automation to edit it, make your changes and click Save.

Click the three-dot menu on the row for more options:

  • View history: see every run of the automation.

  • Duplicate: make a copy on the same account.

  • Copy to another account: copy the automation to another account you have access to.

  • Delete: remove the automation. Deleting an automation also deletes its history.

Use Zapier workflows at the top of the page to connect Triggerbee to other tools through Zapier.

Troubleshooting

The Health column gives you a quick view of whether an automation works. If a run fails, it shows in the health bar.

Health status

Each bar in the Health column is one of the last 14 runs, oldest to the left:

Bar

What it means

Green

The run went through without errors.

Red

The run failed.

Yellow

The run is waiting to be completed.

Gray

No run yet.

Above the bars you see the overall status:

Status

What it means

Healthy (green)

None of the last 14 runs failed. Runs that are still waiting don't count as failed.

X of 14 failed (red)

X of the last 14 runs failed, for example 3 of 14 failed. Open the history to see why.

Not yet run (gray)

The automation hasn't been triggered yet.

To find out what went wrong:

  1. Click the three-dot menu on the automation and choose View history, or click the number under Run count.

  2. Turn on Show only errors to see only failed runs. You can also search for a specific person by identifier, for example their email address.

  3. Click a run to expand it. You see each action, whether it was executed, and the error message if it failed.

  4. Click Go to visit to see the visit that triggered the run.

If one step fails, the automation continues with the next step when it can.

Failed runs don't run again after you fix the error. If signups failed, we recommend that you import the missing contacts to your CRM or email tool manually.
